How to track PDF documents
1) In Gmail, click Compose to open a new email.
2) Click the Mailtrack Settings button (next to the Send button), then select Document.
Or, click the Attach files button (the paperclip) and select Add Document.
3) A pop-up will appear with options to configure the document. You can:
- Upload the PDF document you would like to track
- Edit the name of the PDF attachment link and choose the link style (Link, Link with icon, Button)
- Convert the PDF into a signable document by the recipient (this FAQ explains how)
- Decide whether or not the recipient can download the PDF
- Decide whether or not the document will include a Confidential watermark
- Add an expiration date and time to automatically remove the recipient’s access to the PDF at a certain time (Note: The expiration date and time are based on the time zone configured in your Mailsuite account)
4) The document will be added as a link in the body of the email.
5) Send the email.
You'll receive desktop notifications and email alerts telling when the recipient opens and/or downloads the PDF you sent (as long as these notifications have been enabled in your Mailsuite settings).
You can also view this document tracking information in your Sent folder when you hover your mouse over the green checkmarks. It’s also available in your Mailtrack dashboard.

Secure sharing options
Mailsuite offers several ways to send PDF documents securely, like enabling/disabling download access, setting access expiration dates, and adding watermarks.

Create Signable PDFs
You can easily convert a standard PDF document into a signable PDF with Mailsuite. This allows the recipient to quickly sign a document and return it to you.

How to enable/disable Advanced documents notifications
You can choose to receive both desktop notifications and email alerts when PDFs are viewed/downloaded.
These notification can be enabled or disabled in your Mailtrack settings.
Advanced documents Analytics
PDF Analytics gives insights into how people interact with your PDF documents.
You can also get page-by-page analytics for each person you send documents to. With this data, you can learn more about your audience's engagement with the PDFs and determine what PDF content keeps their attention and what doesn’t.
You can view PDF Analytics in your Mailtrack dashboard when you click on the entry for an email.
With PDF Analytics you can see:
- When someone views a PDF
- How long they viewed the PDF
- How many pages they viewed
- The specific page numbers they viewed
- The percentage of the document viewed overall
- If the PDF was downloaded
Frequently Asked Questions about Advanced documents
Can I track downloads for multiple documents in the same email?
Yes, you can track downloads for more than one document per email. However, you need to add the documents to an email one at a time.
What document file types can I track?
Only PDF file types are allowed at this time.
Can Mailtrack tell me if a PDF has been forwarded?
Mailtrack is unable to tell you if a PDF has been forwarded or people other than your recipient have accessed it. Any PDF views generated by a forwarded email will be attributed to the original email recipient.
What happens if I cancel my Advanced subscription?
You'll lose access to your document tracking data if you cancel an Advanced subscription.
However, if you cancel your Advanced subscription, your tracked documents will remain available for one month afterwards. After that month is over, the documents will be deleted from your emails.
